Setting Up Stock Alerts in CODRocket

Running out of stock on a popular product means lost sales and disappointed customers. CODRocket's stock alert system ensures you are always notified before inventory runs critically low, giving you time to reorder and maintain uninterrupted operations. This guide shows you how to configure and manage stock alerts effectively.

How Stock Alerts Work

Stock alerts are threshold-based notifications. When a product's available stock drops to or below the threshold you set, CODRocket sends you a notification. This works across all warehouses — you can set alerts per product globally or per warehouse location.

Configuring Low Stock Thresholds

  1. Go to Inventory > Products
  2. Select the product you want to configure alerts for
  3. In the "Stock Settings" section, find the "Low Stock Alert" field
  4. Enter your desired threshold number. For example, if you set it to 10, you will receive an alert when stock drops to 10 or below
  5. Save the product

Choosing the Right Threshold

Setting the appropriate threshold depends on several factors:

  • Sales Velocity: How many units of this product do you sell per day? If you sell 20 units/day and your supplier takes 3 days to deliver, set the threshold to at least 60 units (20 x 3 days)
  • Supplier Lead Time: How long does it take to receive new stock from your supplier?
  • Safety Stock: Add a buffer above the minimum to account for demand spikes
  • Seasonal Variations: Consider increasing thresholds during peak sales periods

Notification Channels

You can receive stock alerts through multiple channels:

  • Dashboard Notification: A badge appears on the Inventory section in your sidebar, and a notification card shows on your dashboard
  • Email Alert: An email is sent to the account owner and any configured team members
  • SMS Alert: For critical products, enable SMS notifications for immediate awareness even when you are away from the dashboard

Bulk Threshold Configuration

Instead of setting thresholds one product at a time, you can configure them in bulk:

  1. Go to Inventory > Products
  2. Select multiple products using the checkboxes
  3. Click "Bulk Actions" and choose "Set Low Stock Alert"
  4. Enter the threshold value to apply to all selected products

Out of Stock Handling

When a product reaches zero stock, CODRocket can take automatic actions based on your configuration:

  • Block Orders: Prevent new orders from being created with out-of-stock products
  • Warning Only: Allow orders but display a warning to the person creating the order
  • Auto-Backorder: Accept orders and mark them as backordered, to be fulfilled when stock arrives

Stock Report and Forecasting

Combine stock alerts with CODRocket's sales reporting to forecast future inventory needs. The analytics dashboard shows stock-to-sales ratios and estimates days of inventory remaining for each product based on current sales velocity.
