Understanding Order Statuses in CODRocket

Every order in CODRocket goes through a defined lifecycle represented by status labels. Understanding these statuses is crucial for managing your operations efficiently, tracking performance, and identifying bottlenecks. This guide explains each status, what triggers transitions, and how to use status filters to manage your workflow.

The Order Lifecycle

A typical COD order follows this path through the system:

  1. New → Order has been created but not yet confirmed
  2. Confirmed → Customer has been contacted and confirmed the order
  3. Processing → Order is being prepared and packaged
  4. Shipped → Order has been handed to the delivery driver or courier
  5. Out for Delivery → Driver is en route to the customer
  6. Delivered → Successfully delivered and payment collected

All Available Statuses

New

The initial status when an order is created, either manually or through an integration. Orders in "New" status require confirmation before they can be dispatched. Action required: Contact the customer to verify the order details and confirm their intent to purchase.

Confirmed

The customer has been reached and confirmed the order. This means they acknowledge the products ordered, the total amount to be paid on delivery, and the delivery address. Action required: Prepare the package and assign it for delivery.

No Answer

Multiple attempts to reach the customer have failed. The system tracks how many call attempts have been made. Action required: Schedule another confirmation attempt. After 3 failed attempts, consider marking the order as Cancelled to free up inventory.

Processing

The order is being prepared. Products are being picked from inventory, quality-checked, and packaged. Action required: Complete packaging and attach the shipping label.

Shipped

The package has been handed to a delivery driver, courier service, or logistics partner. A tracking number may be assigned at this stage. Action required: Monitor delivery progress.

Out for Delivery

The delivery driver is actively en route to the customer with this order. The customer may receive an SMS notification at this stage. Action required: No action needed, await delivery outcome.

Delivered

The order has been successfully delivered and the COD payment has been collected from the customer. This is a final status. Action required: Ensure the collected amount is reconciled.

Returned

The customer refused the order upon delivery, or the delivery attempt failed (wrong address, customer unavailable, etc.). Action required: Process the return. Return the product to inventory, investigate the reason, and decide whether to attempt redelivery.

Cancelled

The order has been cancelled before shipment, either by the customer or by your team. Action required: If inventory was reserved, release it back to available stock.

Using Status Filters

On the Orders page, use the status filter tabs to quickly view orders by status. Common workflows include:

  • Morning routine: Filter by "New" to see all orders that need confirmation calls
  • Packaging time: Filter by "Confirmed" to see all orders ready for packaging
  • End of day: Filter by "Delivered" to reconcile the day's cash collections
  • Weekly review: Filter by "Returned" to analyze return reasons and improve processes

Automatic Status Updates

CODRocket can automatically update order statuses based on triggers:

  • Orders from integrations (WooCommerce, Shopify) are auto-set to "New"
  • When a driver marks delivery as complete in the mobile app, status changes to "Delivered"
  • When a driver reports a failed delivery, status changes to "Returned" with the reason logged
